Tasks/To Do Lists

A task or to do list is a personal or work-related activity you want to track through completion. The Task or To Do List application enables you to:

Tasks created on your handheld are automatically synchronized with tasks in Outlook. To Do lists created on your handheld are automatically synchronized with To Do lists in Lotus Notes. For example:

Viewing Tasks/To Do Lists

To view existing tasks:

  1. Start the Tasks/To Do List application.
  2. A list of tasks appears. (If you don't have any tasks defined, a [No Tasks] message appears.)

    Tasks in the task list are sorted in the following way:

  3. Select a task or to do list.
  4. A detailed description of the task or to do list appears.

  5. When you have finished reviewing the description, select OK or Done.

Adding New Tasks/To Do List

To add a new Task or To Do List:

  1. Start the Tasks/To Do List application.
  2. A list of tasks or to do lists appears.

  3. Select New.
  4. A form appears.

  5. Enter a task Subject.
  6. Subject is a short name or description of the task. This description appears in the task list.

  7. Choose a task or to do list priority and status.
  8. Tasks or to do lists can have a High, Normal, or Low priority.

    Task or to do list status can be Not Started, In Progress, Completed, Waiting, or Deferred.

  9. If desired, set a due date and/or reminder.
  10. When you have finished defining the task, bring up the menu and select Save.
  11. The new task you created is included in the Task or To Do list.

Editing Tasks/To Do Lists

To edit a task or to do list:

  1. In the task or to do list, select the item you want to edit. Choose Edit from the menu.
  2. A description appears.

  3. Change the information.
  4. When you have finished making changes, select Save from the menu.

Deleting Tasks/To Do Lists

To delete a task or to do list:

  1. Select the item you want to delete and select Delete from the menu.
  2. To delete more than one task, drag or hold down the Shift key and scroll. Then choose Delete from the menu.

Setting Task/Do List Options

You can use the Task or To Do options to sort items by due date or priority.

To set Task or To Do options:

  1. Start the Task or To Do List application.
  2. Select Task or To Do options from the menu.
  3. A list of options appears.

  4. Select the options you want to set. When you have finished setting options, select OK or Done.

Assigning Categories to Tasks

Note: This feature is not available for Lotus Notes

You can use categories to organize your tasks by assigning tasks to various groups. Once you have assigned tasks, you can sort or view tasks by category.

To assign a category to a new task:

  1. Start the Task application.
  2. Select New from the menu. A blank form appears.
  3. Create a task.
  4. In the Categories field, select Choose Categories link. The Choose Categories screen appears.
  5. Select one or more categories from the list to assign to the task. Select New to create a new category.
  6. Select Save.

Viewing Tasks by Categories

To view tasks by categories:

  1. Start the Task application.
  2. Select Category from the sort by drop-down menu.
  3. The tasks are sorted automatically.
